What is your role?

Title says “Office & Facilities Manager”. What do we mean by that?

We want everything to run as smoothly as possible in the office, so we need You.

Since we moved to new and modern office facilities during the COVID pandemic, we see great improvement in how we work together on site and/or remotely. In that way, our expectations as a growing team in such a workplace have risen.

At Olivia Garden, you will be

  • The first contact point for every organisational topic concerning our office and facilities, for both the OG team and tenants in our building – and external contractors supporting us.
  • The “Pixie of Good Atmosphere”, who always goes the extra mile to make the workplace the best version of itself and shape a positive company culture.
  • An administrative backup, to support the administration team in their day-to-day tasks by showing great time management and planning skills.
  • An excellent communicator (both orally and in writing) who understands the needs of everyone in the team and is able to bring people together.
  • An optimistic problem solver who is eager to find the best solutions for small and big issues.

  • Taking care of the offices, building and surroundings by both collaborating with the right colleagues or externals – with a hands-on attitude.
  • Actively developing the improvement of the workplace with the team and external contractors
  • Having an eye for the small things overseen by others

As we know this kind of position can often encompass a wide range of tasks, here is a non-exhaustive list to show more specifically what we have in mind:

  • Organize the office layout and order stationery equipment
  • Maintain the office condition and arrange necessary repairs
  • Be the SPOC for every facility management vendor (gardening, security, inhouse cleaning, …)
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Assist in the onboarding process for new hires by ordering new equipment and preparing welcome packs
  • Plan on/offsite activities like team buildings, afterwork’s, etc.
  • Provide general support for meetings

We do believe in expertise given by a diploma, but also in experience acquired over the years so get in touch with us if:

  • You can prove 3 to 5 years of successful professional experience in a similar role
  • You have a strong command of Microsoft Office especially Excel
  • You are fluent in French and English
